# How to Write Useful Instructions for Book Translation

Give an EPUB translator enough background, terminology, and tone guidance to make useful choices, without burying the task in a long generic prompt.

A useful translation instruction explains a decision the system might otherwise make differently. “Keep personal names unchanged” is checkable. “Produce the most perfect translation possible” adds little information about your book.

You do not need an elaborate prompt to start. Give the subject, intended reading style, and a few important wording preferences. Then check those choices in the finished edition.

## Start with the minimum necessary background

Identify the kind of book and the audience. A beginner's economics textbook and a historical novel can use some of the same words in different ways. One sentence about the subject helps without turning the instructions into a speculative summary.

For example:

> This is an introductory economics textbook for general readers. Use clear English and standard economics terminology.

Only include facts you know. A guessed character relationship or an incorrect explanation of a technical term can be worse than no background. Avoid pasting an unrelated review, a promotional description, or a plot summary with assumptions the text does not support.

If the book contains private information, remember that instructions are also submitted content. Include only the context needed for processing. The [document privacy checklist](https://pdfcraft.ai/en/blog/online-document-translation-privacy/) explains that boundary.

## Specify names, terms, and tone with examples

Choose a handful of recurring words that matter rather than every unusual word in the book. State whether a name should remain unchanged, be transliterated, or follow an established form. If two similar terms must remain distinct, explain the distinction.

These hypothetical examples show useful levels of detail:

| Purpose | Possible instruction |
| ------------------- | ------------------------------------------------------------------------------------------------------------------------------------------ |
| Novel names | Keep personal names unchanged. Use “North Harbor” for the place name and retain it consistently where the context refers to that location. |
| Technical term | Translate “gradient descent” using the standard term in the target language; keep the abbreviation SGD unchanged. |
| Regional preference | Use British English spelling and a clear, conversational tone. |
| Formality | Keep the narration formal while allowing ordinary informal language in dialogue. |

Adapt the wording to the actual book and language. Do not ask for a broad regional label if you have a more specific audience requirement. Equally, avoid pretending a short preference settles every idiom or social relationship in a novel.

PDF Craft accepts these requests in the translation instructions field. They guide translation; they are not an absolute consistency guarantee or an independent terminology-management service. Review important recurring names and terms in the output.

## Remove instructions that conflict or distract

A long prompt can contain incompatible goals: preserve every sentence exactly, simplify the book for children, and keep its original advanced style. Decide which result you actually want. For an ordinary translation, do not accidentally request a summary or adaptation.

Avoid lists of generic praise such as “accurate, excellent, professional, flawless.” Replace them with decisions a reviewer can evaluate. If a request does not change a choice or explain the source, it may not earn its place.

Before submitting, read the instructions as a short brief:

1. Is the book's subject correct?
2. Are the few preferred names and terms spelled correctly?
3. Does the style request suit both the audience and the source?
4. Have you asked for translation rather than an unintended rewrite?
5. Are there conflicting requirements or unnecessary private details?

Keep a copy with the source file. It is useful when you review the result or discuss a wording issue later.

## Check representative passages after translation

Choose a passage for each important request. For a regional spelling preference, inspect several ordinary words across the book. For a name or term, search occurrences in distant chapters. For voice, compare narration and dialogue rather than checking an isolated sentence.

Bilingual EPUB output can help because PDF Craft places the original passage before its translation. It does not prove the original was understood correctly or that every instruction was followed. Compare important meaning, including negatives, numbers, and who is speaking.

When a request fails, identify the actual occurrence and context. A term can have different meanings in different chapters, so a global replacement may create a new error. Clarify the intended distinction before starting another task, and check the current [Pricing](https://pdfcraft.ai/en/pricing/) rather than assuming repeated processing has no cost.
